A.  General information on data processing

The protection of your personal data during your visit on our homepage edoc-as.com is important to us. In the following we would like to inform you in which form your data is requested, electronically stored and processed.

1. Personal data

According to Art. 4 para. 1 DPA, personal data is any information relating to an identified or identifiable natural person; an identifiable person can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, a location data, an online identifier, or one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person. Therefore, personal data is information about you. This includes information such as your name, address, telephone number and e-mail address, but also data such as your location, IP address or bank details. It is not necessary to disclose personal data in order to use our Website. In certain cases, however, we need your name and address and other information for a contract or preliminary contract between us and you or between the user parties so that we can provide the desired services.

2. Processing of personal data

We process the personal data of our users only to the extent when its necessary to provide a functional website and the provision of our content and services. The processing of your personal data is only carried out with your permission as a user. This does not apply in exceptional cases if the storage and processing of the data is permitted by legal regulations or is technically necessary or required for operational reasons (e.g. fulfilment of contract modalities, IP address). Further cases are listed below in the description of the respective storage processes.

3. Transfer of personal data to third parties and recipients

Your personal data will not be passed on to other recipients and third parties without your prior permission. eDOC Aviation Service will not pass your data to third parties unless eDOC Aviation Service is legally obliged to release the Data. The collection of personal data and its transmission to state institutions and authorities entitled to receive information will only take place within the framework of the relevant laws or if we are obliged to do so by a judicial decision. eDOC Aviation Service will also not pass your data onto private third parties, unless these are the external service providers that provide services in the name and on behalf of eDOC Aviation Service. Our employees and service providers are obliged to maintain confidentiality and to protect the personal and company related data.

In some cases, we use third party extensions. Personal data may be passed on or automatically transferred. The type, scope, purpose and duration of the processing of personal data may vary in some cases. We therefore check each individual case as to which third party services we use on our website and whether personal data is passed on to them. We include this data processing in the privacy policy according to the specifications. The transfer of personal data to the third parties by us takes place in the cases listed separately.

4. Automatic collection of technical data (Server Logfiles)

With every visit of our website, our system automatically collects data and information from the computer system of the visitor. Our web server writes error and access logs by default.
The data is also stored in the logfiles of our system. This data is not stored with other personal data of the user.
The following data is stored for organizational and technical purposes:

  • Your complete IP Address
  • Name of used browser
  • Information about the browser type and the used version
  • Your operating system (name, version)
  • Date and Time of access

The legal basis for the temporary storage of data and logfiles is of legitimate interest according to Art. 6 para. 1 lit. f DSGVO. The (temporary) storage of IP address in the system is necessary to enable the website to be delivered to the user’s computer. Therefore, the storing of the user’s IP address must remain stored for the duration of the session or beyond.

The storage in log files takes place in an anonymous form, so that no conclusions can be drawn about individual persons and serves to ensure the functionality and optimization of our website as well as to ensure the security of our information technology systems. An evaluation of this data for marketing purposes does not take place.

The collection and storage of data in logfiles is mandatory for the provision and operation of the website. Therefore, there is no possibility of objection from the user.

5. Processing of IP addresses

In the following cases we process the IP addresses of the visitors on our homepage. IP addresses are unique numerical addresses used for the retrieving and sending of data to the Internet. As a rule, we do not know which person is behind the respective IP address, we cannot assign data to a specifically identified person.

Exception: You can voluntarily share your E-mail address or other data while using our website. Furthermore, you may be identified if we take legal action against you in the event of an investigation (e.g. attacks against our website). As a rule, we will not assign the subsequent data to a specific person.

6. Purpose

Your personal data provided online on our website will be processed only by eDOC Aviation Service for the purposes listed in section B below, that are based on legal grounds stated in each case.

 

B. Processing of personal data by eDOC Aviation Service GmbH

Provision of Homepage

1. Processing of your IP address through webservers

Services on the Internet can only be used through disclosure of your IP address. This is processed by the servers that deliver these pages. The delivery process of our web pages is not anonymous.

2. Encoded transmission

In the case of online-collection and processing of personal data, the information is transmitted in encrypted form (via https) to prevent the misuse of data by third parties. The data entered by you on all our pages will be encrypted and transferred to us, so that they would be protected from being viewed by third parties. Our web pages automatically encrypt al content and data.

Encryption technologies are used which correspond to the current state of the art. The security measures are continuously revised with the corresponding technological advancements.

3. Use of cookies

The website of eDOC Aviation Service sometimes uses cookies. Cookies are text files that are stored on the user's computer system in the Internet browser or by the Internet browser. If a user visits a website, a cookie may be stored on the user's terminal device. Most of the cookies we use are so-called session cookies. They are automatically deleted at the end of your visit. Other cookies remain stored on your terminal device until you delete them. These cookies enable us to recognize your browser on your next visit.

You can set your browser so that you are informed about the setting of cookies and allow cookies only in individual cases, exclude the acceptance of cookies for certain cases or in general and activate the automatic deletion of cookies when closing the browser. The website operator has a legitimate interest in the storage of cookies for the technically error-free and optimized provision of his services. Insofar as other cookies (e.g. cookies to analyze your surfing behavior) are stored, they are treated separately in this privacy policy.

3. Matomo

To record and evaluate user behaviour, we use the software Matomo, which was configured according to the recommendations of independent state centre for data protection Schleswig Holstein (ULD). Matomo uses Cookies. Cookies are small text files that are stored on your computer by the web browser. By means of cookies we receive information about which website you have called and additionally the following browser type/version, operating system used, technical information about the operating system and the browser as well as the public IP address you are using. We use Matomo in such a way that your IP address is only used in an anonymous form.

We run Matomo on the same server on which our Homepage is operated, so that no data about your user behaviour is transferred to the third parties. You can delete cookies at any time if you do not want to be recognized. You can object to the recording and evaluation of your user behaviour and the cookies setting by unchecking the declaration of consent at the top of this page. Alternatively, you can activate “Do Not Track” in your browser. Please note that by deactivating the evaluation of your surfing behaviour is also stored in a cookie. If you delete the cookies you would have to deactivate it again.

Matomo allows us a better understanding on how our site was found to improve our search engine optimization and the advertising or promotional activities. With this processing we pursue the legitimate interest of improving our website and advertising measures. The legal basis of the processing is Art. 6 para. 1 lit. f DSGVO.

The pseudonymous data will be deleted after 14 Months.

4. Social Media

eDOC Aviation Service uses social media for advertising on the internet using the static social media links on the website. On our website the sidebar on the right are the static links to our social media presences, namely Google+, LinkedIn and Xing. These buttons are linked with static links. By clicking on the button, you will be directed to our social network pages. The sharing of personal data and content to the social network will not take place.

5. Contact form and e-mail contact

On our website there is a contact form that can be used for electronic contact. With this contact form you can contact us directly by e-mail. This serves for general inquiries, any kind of direct discourse, registration for events and to order a product demo distribution. We process these data to answer your inquiries. If a user makes use of this option, the data entered in the input mask will be transmitted to us and stored.

For the processing of the data, your consent will be obtained, and a reference will be made to this privacy policy.

Alternatively, you can contact us via provided e-mail addresses kontakt@edoc-as.com, info@edoc-as.com and vertrieb@edoc-as.com for support and inquiries. In this case, the personal data transmitted with the e-mail will be stored in the same way as the user. This includes the communication data like e-mail address and telephone number also personal data like name and message. Similarly, this applies to requests for a company brochure.

In this context, the data will not be passed on to the third parties. The data will be used exclusively for processing the conversation.

The legal basis for the processing of the data is Art. 6 para. 1 lit. a DSGVO, if the user has given his/her permission.

The legal basis for the processing of the data transmitted while sending an e-mail is Art. 6 Para. 1 lit. f DSGVO.

The processing of personal data from the input mask serves solely for the establishment of contact and to answer inquiries. In the case of contacting us by e-mail, also lies the necessary legitimate interest in the processing of the data.

The other personal data processed during the sending serves to prevent misuse of the contact form and ensures the security of our information technology systems. The data will be deleted as soon as they are no longer necessary for the collection purposes. Likewise, the personal data from the input mask of the contact form and those sent by e-mail is when the respective conversation with the user has ended. The conversation is terminated when its concluded from the circumstances that the matter in question has been clarified.

The user has the possibility to revoke his/her consent to the processing of data at any time. If the user contacts us by e-mail, the storage of personal data can be objected. In such case the conversation cannot be continued. As a user you can carry this out by sending us an informal message. All personal data stored during conversation will be deleted.

6. Telephone Contact

If you contact us by telephone, your telephone number (if transmitted) will be stored as a communication date in the call history.
This serves to manifest the call history. It will be deleted automatically after 90 days.
The legal basis of the processing is Art. 6 Para. 1 lit. a/ f DSGVO.

7. Recipient of the personal data

Personal data will not be passed on to any of the following groups of recipients:
a. The companies with which a contract of processing has been concluded
b. Third parties within the context of DSGVO are e.g. companies (such as service providers, advertising partners, companies, that use third party cookies) with whom no contract for processing orders has been concluded.

As the data subject, you are entitled to the following rights:

Right of access to the personal data concerning you
According to Art. 15 DSGVO, you have the right to request confirmation as to whether concerning you is being processed. If this is the case, you have the right to be informed about these personal data and to receive further information as mentioned in Art. 15 DSGVO.

Right of Rectification
In accordance with Art. 16 DSGVO, you have the right to demand that we correct any incorrect personal data concerning you instantly. With consideration to the purpose of processing you have the right to request the completion of incomplete personal data, also by means of supplementary declaration.

Right of Cancellation
You have the right to demand from us the immediate deletion of your personal data, provided that the relevant requirements of Art. 17 DSGVO are met. For details, refer to Art. 17 DSGVO.

Right to limitation of processing
In accordance with Art. 18 DSGVO, you have the right, under certain conditions, to demand that we restrict processing.

Right of objection
Under Art. 21 DSGVO, you have the right to object at any time to the processing of personal data, for reasons arising from your situation that is carried out based on Article 6 para. 1 DSGVO, including profiling based on these provisions.

If you wish to exercise a right to which you are entitled, please contact us the responsible party using the contact details provided above. It will be easier for us to process your request if you provide us with proof that proves your identity so that we can assign your request to a specific person concerned. If you have any questions relating to this, please contact us. If you do not want Matomo to be used when you visit our website, you can object to the collection and use of your IP address at any time with effect for the future.

Existence of a right to appeal to the supervisory authority
